All about our privacy policy and how we handle generative articificial intelligence.

We respect your privacy according to current legislation. Your personal data will be properly protected, processed, transmitted or modified at your request.

The privacy statement was updated on March 31, 2025.
It is possible that this privacy statement will be changed in the future. Therefore, our policy regarding personal data is regularly reviewed against current regulations.

Why a privacy statement?

  • This privacy statement describes how Toerisme Vlaams-Brabant vzw handles the personal data it processes. Personal data are data that allow us to identify you as a person, whether or not we actually do so. We find it important to inform you about this as well as possible.
  • Toerisme Vlaams-Brabant vzw attaches great importance to the protection of privacy and processes the personal data it receives with the necessary care and in accordance with the General Data Protection Regulation (AVG).
  • When your personal data are processed outside the European Economic Area, this is always done in accordance with the regulations of the AVG.

Why do we process personal data?

  • Toerisme Vlaams-Brabant vzw processes personal data within the framework of its assignments, supra-local task representation and its own initiatives within the framework of the provincial tourism policy.
  • We always process your personal data on one of these bases:
    • your consent;
    • a contract that we conclude with each other;
    • A legal obligation that we must fulfil;
    • a task that we, Toerisme Vlaams-Brabant vzw, have to perform in the context of general interest.

What personal data do we process?

In order to carry out our tasks, we process different categories of personal data:

  • identification data such as title, first name, name, address, telephone and cell phone number, e-mail;
  • electronic identification data such as IP addresses, cookies;
  • financial and transaction data such as bank account numbers, payments, supplier data;
  • audio, photo and visual material.

How do personal data end up with Toerisme Vlaams-Brabant vzw?

These data come to us

  • because you have provided them to us yourself;

    When you apply for a subsidy or premium as an organization, the necessary personal data will be processed by Toerisme Vlaams-Brabant vzw in accordance with the regulations.
  • Reports, complaints and requests for information
    Your personal data can be processed when you make a report to Toerisme Vlaams-Brabant, submit a complaint to the complaints handler or ask for information. The personal data you share with us via a contact form will only be processed by Toerisme Vlaams-Brabant vzw and will not be kept longer than necessary.
  • Newsletter
    You can subscribe to our newsletter via the website. You will always receive an e-mail to confirm that you actually want to receive the newsletter. Don't want to receive the newsletter anymore? You can unsubscribe via the unsubscribe link at the bottom of the newsletter.
  • Images
    Toerisme Vlaams-Brabant vzw takes photos and videos of activities and public events. We use this visual material for promotion via our analog and digital communication channels. We respect your right to image and commit ourselves to inform you clearly at each activity about the visual material that is made on site.
    For overview photos and atmospheric images, we assume your implicit consent, both for the taking and for the publication. When you are recognizable in the picture, we always ask your explicit permission, both for making and for publishing. We do this in advance and in writing.
  • Social media
    Toerisme Vlaams-Brabant vzw uses social media: Facebook, Instagram and YouTube. If you contact us through these channels in a private message, we will only use that data to help you further. If you respond to our public posts or share or like these posts, this data will be visible to others.
  • Statistical research and general policy support
    When we process data for statistical research and general policy support, this data is anonymous. That is, we cannot trace this data back to natural persons. Therefore, we cannot identify you on the basis of this data.
  • Recruitment and selection
    When you apply for a job at Toerisme Vlaams-Brabant vzw, your CV and application letter data will be kept in function of the selection and recruitment procedure.
  • Subscription magazine VISIT Vlaams-Brabant.
    You can subscribe via the website to the VISIT Vlaams-Brabant magazine, which appears twice a year. You will always receive a confirmation e-mail. Would you like to change your details or stop receiving the magazine? You can always do so at www.visitvlaambrabant.be/mijnabonnement.
  • Volunteer work
    If you are involved in the activities of Toerisme Vlaams-Brabant vzw as a volunteer, your name, address and contact details will be kept in function of your specific task as a volunteer. As soon as you are no longer active as a volunteer, your data will be removed.
  • Ordering via the webshop visitvlaamsbrabant.be
    As part of your order, some data will be stored in order to process your order.

With which third parties do we share your personal data?

Toerisme Vlaams-Brabant vzw will only share your data with third parties if this is necessary for the purpose for which we collected them.

Consequently, we will only share your personal data with:

  • Our processors: they are responsible for our ICT infrastructure, applications or carry out specific processing on our behalf. They always do this within the framework agreed with them. This is laid down in a processing agreement.
  • Partners with whom we collaborate: When we collaborate with partners on policies or organize events, we always do so within an established agreement framework. We communicate transparently about this and only share the necessary personal data. If necessary, we ask your permission.
  • Other governments: When we receive personal data from or exchange it with other governments, we record the agreement framework regarding this processing in a protocol or authorization.

How long do we keep your personal data?

Our basic principle is that we keep personal data only as long as is necessary for the purpose. As a government agency, we must also comply with archival legislation. Depending on the processing, the board has established legal and administrative retention periods.

What rights do you have as a citizen?

Depending on the processing and the basis, you have a number of ways to maintain control over your personal data:

  • Right to see your data: you may know whether we have data on you, what data it is, how it is used, and you may receive further explanation.
  • Right to correct your data: If your data is incorrect, you may ask us to correct it.
  • Right to object: you have the right to ask us to stop processing your personal data.
  • Right to restrict processing: you can ask us to restrict the processing of your personal data, for example when we check the accuracy of your personal data.
  • Right to oblivion or deletion: You have the right to ask us to destroy your personal data. If we are required by law to keep certain personal data, we cannot comply with this request.
  • Right to withdraw your consent: For processing of personal data based on your consent, you may withdraw that consent.
